Subscriptions
Products are licensed per organisation, per plan, for the term in your order form.
Your data
Everything you load into EstateFlow stays yours. We process it only to run the service.
Liability
We keep the service secure and available; our liability is capped at the fees you paid in the last 12 months.
01Who we are and what these terms cover
These Terms & Conditions (“Terms”) are an agreement between you and EstateFlow (“EstateFlow”, “we”, “us”), the operator of estateflow.live and the provider of the EstateFlow software suite (CRM, ERP, Maps, QistFlow, Balloting, Accounts, Billing, HR & Payroll, Construction, Land, Projects, Documents, Complaints and the mobile apps).
Part A applies to everyone who visits the website. Part B applies to organisations that subscribe to one or more products. Where an order form, quotation or master service agreement signed by both parties conflicts with these Terms, the signed document prevails.
By using the website or the products you accept these Terms. If you are accepting on behalf of a company, society or partnership you confirm that you are authorised to bind it.
02Part A — Using the website
You may browse the website, read the guides and use the contact, callback and subscription forms for their intended purpose. Information you submit through a form is handled as described in our Privacy Policy.
The website, its text, design, diagrams, screenshots, sample data and code are owned by EstateFlow or its licensors. You may quote short extracts with attribution and a link. You may not copy the site or substantial parts of it, frame it, or use it to build a competing product or dataset.
- Do not attempt to gain unauthorised access to any part of the site, the admin panel or the servers behind it.
- Do not send automated, bulk or fraudulent form submissions, or use the forms to send unsolicited messages.
- Do not interfere with the site’s availability (denial-of-service, vulnerability scanning without written permission, or similar).
- Demo screens, maps and numbers on the site are illustrative sample data, not statements about any real scheme or customer.
03Part B — Subscriptions and accounts
EstateFlow products are provided as a subscription to a named organisation (the “Customer”). The products, plan (Starter, Professional or Enterprise), number of users, term, price and go-live scope are set out in the order form or quotation you accept.
The Customer designates one or more administrators. Administrators create user accounts, assign roles and are responsible for keeping credentials confidential and for all activity under the organisation’s accounts. Tell us immediately at sales@estateflow.live if you suspect an account has been compromised.
Each user account is for one named person. Sharing logins between staff, dealers or agents is not permitted and may be blocked by the audit and security controls.
04Fees, invoicing and payment
Fees are stated in Pakistani Rupees unless the order form says otherwise, exclusive of applicable taxes (including sales tax on services, withholding tax and FBR levies), which are added or deducted as the law requires.
Subscription fees are invoiced in advance for the billing period in the order form (monthly, quarterly or annually). Implementation, data-migration, map-digitisation and training fees are invoiced per the milestones in the order form.
Invoices are due within 15 days of the invoice date unless otherwise agreed. If an invoice remains unpaid 15 days after a written reminder we may suspend access until payment is received; data is preserved during suspension.
Prices are fixed for the term in the order form. We may adjust prices for a renewal term with at least 45 days’ written notice before the renewal date.
05Term, renewal and termination
The subscription starts on the go-live date (or the date in the order form) and runs for the initial term. It renews automatically for successive terms of the same length unless either party gives written notice of non-renewal at least 30 days before the end of the current term.
Either party may terminate for material breach if the breach is not cured within 30 days of written notice. We may terminate immediately for non-payment beyond 45 days, for illegal use of the service, or for a serious security threat originating from the Customer’s accounts.
On termination the Customer may export all data for 60 days (see Section 8). After that period data is deleted from live systems and from backups within a further 90 days. Fees for the remainder of a committed term are not refunded except as stated in the Refund Policy.
06Acceptable use of the products
The products must be used lawfully and in line with the rights of the people whose data is stored in them (buyers, dealers, residents, staff). In particular the Customer is responsible for:
- Having a lawful basis to store CNICs, phone numbers, addresses and payment records, and for the accuracy of that data.
- Using WhatsApp, SMS and email features in line with the providers’ terms: approved templates, opt-outs honoured, no spam. Numbers that generate complaints or provider bans may be disconnected.
- Configuring payment-plan templates, late-payment surcharge rules, commission structures, ballot parameters and approval chains correctly. EstateFlow executes rules; it does not audit their legality or commercial fairness.
- Not uploading malware, not reverse-engineering the software, not reselling access, and not using the API to extract data for a competing product.
- Ballots: the Customer is responsible for regulatory approvals, applicant eligibility, the sealed applicant list and the published seed. EstateFlow provides a deterministic, replayable draw and an audit log.
07Flo (AI assistant) and automations
Flo drafts replies, qualifies leads, extracts data from documents and summarises conversations. Its output is a suggestion produced by a language model and may be wrong. The Customer must keep a human responsible for decisions that affect money, allotments, transfers, legal status or a person’s rights.
Outbound messages sent by Flo use templates the Customer approved. Every automated action is logged and can be reviewed. The Customer can disable any automation at any time.
08Customer data, ownership and export
All data the Customer and its users load into the products (inventory, files, contacts, ledgers, documents, maps, messages) is Customer Data and belongs to the Customer. We process it only to provide, secure, support and improve the service, and as instructed by the Customer.
We do not sell Customer Data, do not use it to train models for other customers, and do not disclose it except to sub-processors needed to run the service (cloud hosting, messaging gateways, payment gateways, e-signature providers) under written contracts, or when the law requires it.
The Customer can export Customer Data at any time in standard formats (CSV, Excel, PDF, GeoJSON, JSON via the API). Enterprise customers may host on their own infrastructure.
09Security, availability and support
Customer Data is encrypted in transit and at rest, backed up daily, and protected by role- and field-level permissions and an immutable audit log. We follow a documented incident-response process and will notify affected customers without undue delay of any confirmed breach affecting their data.
We target 99.5% monthly availability for the hosted service, excluding scheduled maintenance announced at least 24 hours in advance (normally outside 09:00–21:00 PKT) and events outside our reasonable control. Service credits, where agreed, are set out in the order form or master service agreement.
Support is available by WhatsApp, phone and email during business hours (Monday–Saturday, 10:00–19:00 PKT). Priority incidents affecting collections, ballots or public maps are treated as critical and worked until resolved.
10Intellectual property and confidentiality
EstateFlow and its licensors own the software, its design, documentation and all improvements. The Customer receives a non-exclusive, non-transferable licence to use the products for its own business during the subscription term.
Each party keeps the other’s confidential information (pricing, roadmaps, Customer Data, security details) confidential and uses it only for the purposes of the agreement, for the term and five years afterwards. Feedback you give us about the products may be used to improve them without obligation.
11Warranties and liability
We warrant that the products will perform materially as described in the documentation and that services will be delivered with reasonable skill and care. If a product does not, your remedy is for us to fix it or, if we cannot within a reasonable time, to refund the fees paid for the affected period (see the Refund Policy).
Except as stated above, the website and products are provided “as is”. We do not warrant that they are error-free or that they will meet every regulatory requirement of every housing authority or development authority; those requirements remain the Customer’s responsibility.
To the fullest extent permitted by law, neither party is liable for indirect or consequential losses (loss of profit, revenue, goodwill or data caused by the other party’s use), and each party’s total liability under the agreement in any 12-month period is limited to the fees paid by the Customer in that period. This cap does not apply to death or personal injury caused by negligence, fraud, breach of confidentiality, or a party’s indemnity obligations.
The Customer indemnifies EstateFlow against third-party claims arising from Customer Data, from the Customer’s configuration of plans, penalties, commissions or ballots, or from messages sent to people who had not consented to receive them.
12General
These Terms are governed by the laws of Pakistan. Disputes are first escalated to senior management of both parties for 30 days; if unresolved, they are referred to the courts at Lahore, unless the order form specifies arbitration.
Neither party is liable for delay caused by events beyond its reasonable control (power or telecom outages, floods, civil unrest, government action). We may update these Terms for future terms with 30 days’ notice; continued use after the notice period is acceptance. Notices are sent to the administrator email on file and to sales@estateflow.live.
If any clause is found unenforceable the rest remains in effect. These Terms, the order form and the policies referenced here (Privacy, Cookie, Refund, Mobile App) are the entire agreement between the parties.
