Solutions

Three businesses, one platform, different first weeks.

The products are shared. The order you switch them on, and the first problem they solve, depends on what kind of business you run.

§ 01Land to handover

Developers

You are launching phases, selling through dealers, collecting installments over three to five years and answering to investors on numbers. The failure modes are known: double-sold plots, missed installments, commission disputes and a map that is a JPEG.

What goes wrong today
  • Plots sold twice because the sales sheet and the dealer’s list disagree
  • Installments tracked in Excel; penalties applied inconsistently or not at all
  • Dealer commission paid on booking, then the buyer cancels
  • Progress questions from buyers answered from memory

Outcome. One record per plot from feasibility to possession, and a scheme dashboard the board can read.

How it runs
  1. 01

    Master plan into inventory

Phases, blocks and plots are defined once, joined to polygons on the map and priced by category.

  2. 02

    Dealers on quotas

Dealers register on the portal, hold plots for 48 hours and book against their allocation.

  3. 03

    QistFlow collects

Every booking gets a dated schedule, WhatsApp reminders and automatic LPS. Recovery officers work lists, not memory.

  4. 04

    Books and progress

Receipts and site costs post to Accounts by project. Development status publishes to the public map.

  5. 05

    Possession

Files clear balloons and possession charge; handover is documented; plots turn Sold.

Numbers you will watch
  • Absorption by block
Which blocks sell, at what price, how fast
  • Collections vs target
Daily, with aging and officer recovery %
  • Dealer performance
    Bookings, cancellations, commission liability
  • Budget vs actual
Per phase and cost code, with margin
Rollout
  1. Week 1–2
Inventory and price lists loaded; CRM live; one block digitised
  2. Week 3–6
Historical files imported into QistFlow; reminders on; dealer portal open
  3. Week 6–10
Full map published; Accounts posting; Construction logs on site
  4. Launch
Ballot (if needed), public map, WhatsApp campaign, dealer quotas
§ 02Leads to commission

Agencies

You buy leads from Zameen and Meta, answer on WhatsApp, and pay agents by the deal. The money is lost in the first ten minutes after a lead arrives and in the argument at month end about who earned what.

What goes wrong today
  • Portal leads answered an hour late, after the buyer has called two other agencies
  • Conversations on agents’ personal WhatsApp that leave with them
  • No record of which source or campaign produced the bookings
  • Commission calculated by hand, disputed every month

Outcome. Median first response under five minutes and a commission statement nobody argues with.

How it runs
  1. 01

    Every source into one queue

Portals, Meta lead ads, website and WhatsApp land as one de-duplicated lead with its source.

  2. 02

    Routed and answered

Rules pick the agent; Flo sends the first WhatsApp reply; the SLA escalates un-contacted leads.

  3. 03

    Worked from the field

Calls, WhatsApp and site visits log from the Agent App, online or offline.

  4. 04

    Booked and paid

The booking accrues commission per structure; the ledger shows earned, due and paid; payroll pays it.

  5. 05

    Measured

Speed-to-lead, source ROI and the agent leaderboard on the manager’s dashboard.

Numbers you will watch
  • Speed-to-lead
Median minutes to first contact, per agent and source
  • Cost per booking
    By portal and campaign, weekly
  • Pipeline aging
Where deals stall and for how long
  • Commission due vs paid
    Per agent, with clawbacks
Rollout
  1. Day 1–3
Sources connected; routing rules; WhatsApp number on the CRM
  2. Week 1
Agents on the app; templates approved; Flo answering after hours
  3. Week 2–3
Commission structures live; first payroll with commission
  4. Month 2
Source ROI report drives the ad budget
§ 03Ballot to community

Housing societies

You run a ballot people must trust, publish a map people can use, bill maintenance to thousands of units and handle transfers without fraud. After possession the work turns into complaints, visitors and dues.

What goes wrong today
  • A ballot that cannot be audited and results that take days to reach applicants
  • A static society map that is out of date the day it is printed
  • Maintenance dues collected at a counter with a paper register
  • Transfers and NOCs issued with dues pending

Outcome. A ballot you can defend, a map that is always right, and collections that do not depend on a queue.

How it runs
  1. 01

    Ballot

Applications with CNIC checks, a sealed list, a seeded draw on screen and results on WhatsApp in minutes.

  2. 02

    Allot and collect

Allotment letters generate; files open in QistFlow; reminders and receipts run on WhatsApp.

  3. 03

    Live map

The public map shows availability and amenities; the office map shows owners, dues and holds.

  4. 04

    Transfer safely

Transfers check dues, acquire a lock, carry the schedule forward and generate the deed.

  5. 05

    Run the community

Maintenance billing, complaints with SLA, visitor passes and announcements from the resident app.

Numbers you will watch
  • Collections vs billed
    Monthly, by block, by channel
  • Arrears aging
    30/60/90 with NOC blocks
  • SLA compliance
    Per category and technician
  • Transfer turnaround
From request to deed, with dues checks
Rollout
  1. Week 1–2
Resident and unit records; charges configured; WhatsApp invoicing
  2. Week 3–4
Complaints intake on WhatsApp; technician app; PM schedules
  3. Week 4–8
Map digitised; files on QistFlow; transfer gates
  4. Next ballot
Applications online; sealed draw; results in minutes
